The Natural Energy Company is a renewable energy company which installs heat pumps and solar systems. The Natural Energy Company is accredited under the Microgeneration Certification Scheme (MCS). 2. The data we hold about individuals and the purposes for which we hold it

In certain circumstances we hold data about individuals during the course of carrying out our role as renewable energy installers. We hold this data to assist us in dealing with your enquiries and requests, installing your renewable systems, registering your systems for manufacturers' & workmanship warranties, communicating with District Network Operator (DNO) such as SSE and Scottish Power to meet the MCS regulations, communications with the Renewable Energy Consumer Code (RECC) and/or Ofgem if requested by you.. On occasion, in the course of carrying out work which you have contracted us to undertake, we will pass your contact details to other trades as necessary.

 All the data about individuals we hold, such as your name, address, telephone number and email address, has been submitted to us by you by email, telephone, post or online as part of one of the following:

  • An enquiry regarding the services we offer
  • A quotation for an installation/service we offer
  • A request for technical assistance for a breakdown or technical problem
  • A request for updates on renewable technologies
  • A request for servicing or maintenance of a renewable system

We may occasionally issue session cookies when strictly necessary for the operation of the website. 3.  The purpose for which we hold data about individuals

All the data we hold about individuals has been provided to us either by you or by an individual(s) or company following an enquiry you have made seeking assistance/information which they have passed to us. We hold this data in order to deliver the services you have requested from us in one of the ways set out in section (2) above.  We do not use your data for any purpose other than than for which you have provided it to us.   If you have provided your individual data to us for any purposes, please be assured that we do not process your data in any way and nor do we publish your data in any format under any circumstances.  We will never pass the data you have provided to us to any third parties for marketing purposes.  We may use the data you have provided to us to keep you informed of relevant developments in renewable technology, and to keep you informed of our Company's activities with regards to new products, events, or other information which we think you may be interested in,

With your consent, for the purposes of the work you have requested us to do for you, it may be necessary to share your contact details with another trade ie. plumber, electrician etc. It will always be your choice whether you consent to us sharing your data, with whom and for what purpose. We will always ask for your consent to do this on our official order form. You will also be able to withdraw your consent at a later date.

4.  The rights of individuals about whom we hold data

As an individual about whom we hold data (data subject), you have the right to ask us:

  • whether we are holding any data about you and if so, what data we are holding
  • for a copy of any data we are holding about you
  • to rectify any incorrect data we are holding about you
  • to delete the data we are holding about you if you no longer want us to hold it provided it is not required to be kept by us by law or regulatory body
  • not to use your data other than for the purpose you provided it to us
  • to change the details of any consent you may have given at any time in writing for us to share your data with a specified third party.

 5.  The circumstances in which we share and transfer the data we hold about individuals

As detailed above, it may be necessary to share your data with other trades/organisations in order to undertake the work you have requested us to do, to register manufacturers' and workmanship warranties, and gain technical assistance for a system we have installed for you. It may also be necessary to share your data to comply with the regulations set down by HMRC, the Microgeneration Certification Scheme (MCS), Renewable Energy Consumer Code (RECC), Ofgem, District Network Operator (DNO), and Refcom/Fgas/GasSafe. It will always be your choice whether you consent to us sharing your data, with whom and for what purpose. We will always ask you for your consent on our official order forms. You will also be able to withdraw your consent at a later date. We may disclose your data if we are required to do so by law, or in order to enforce our own legal rights.

We will not under any circumstances transfer your data outside the European Economic Area (EEA). Given that, holding data about individuals on the internet, which is a global environment, means that it may be processed outside the EEA. If this were to be the case, the data will always be held securely and in line with the requirements of UK data protection legislation.

 6.  The basis on which we hold and protect data about individuals

For the future purposes of complying with HMRC, RECC, MCS, Ofgem, DNO, Daikin UK Ltd and other manufacturer's warranty guidelines, we will hold any data about individuals in The Natural Energy Company CRM database which is protected and has a high level of security. We are committed to ensuring that your data is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.

 7.  How individuals will know if we decide to change this Privacy Policy

Should we decide to change this Privacy Policy statement we will put a notice on our website to inform you of the changes and what their significance could be for you.
